Administrative Assistant - Order Processing

Reporting to the Operations & Sales Support Lead, you will handle data entry tasks that are essential to the accurate and timely completion of our clients’ orders. You will be responsible for handling the vendor communication required to coordinate production (including determining timelines, confirming costs, and approving artwork) as well as creating and submitting work orders. Additionally, you will handle data entry and administrative tasks required to order and return samples.
We are a screen printer, promo product peddler, graphic design firm, and warehousing and fulfillment center; but most of all - we are brand evangelists. We tackle every project with unbridled enthusiasm, promising that in the end we always make the Best Shirts & Swag Ever.

  • Determine timeline for submitted apparel orders based on decorator and client requirements
  • Create and submit accurate work orders to decorators and vendors
  • Complete revisions to work orders and order management page as required by decorators and vendors
  • Review and approve paper proofs provided by vendors to ensure artwork is accurate
  • Handle problem escalation and supplier negotiation on order issues
  • Coordinate sample ordering & returns
  • Act as backup for to misc sales support team tasks
  • Other duties as assigned
  • Minimum 70 wpm typing speed
  • 1 year administrative experience
  • Ability to speak Mandarin a huge plus – hourly wage premium included
  • Strong PC and data entry skills (Microsoft Office, Outlook and Internet)
  • Demonstrated ability to work with lots of details and numbers accurately
  • Strong organizational and time management skills to work on multiple projects simultaneously
  • Excellent written and verbal communication skills
